Event & Program Manager

The Oregon Association of Nurseries seeks an energetic Event & Program Manager with a broad range of skills to work for the Events & Education team. The Event & Program Manager works with the Director of Events and will help plan and manage the following association events, but not limited to:

  • The Farwest Trade Show (6,000 attendees, 400+ exhibitors, 7 hotel room blocks)
  • OAN Annual Convention (200+)
  • Duffer's Golf Tournament (144)
  • Shipping logistics to nursery trade shows for members
  • Board and leadership retreats
  • Related industry events and conferences
  • Staff liaison for the Oregon Nurseries Foundation Scholarship Committee

Responsibilities include:

  • Manage all exhibitor relations including communications, contracts and support
  • Assist sales, education, website and accounting departments in all Farwest related services
  • Conduct booth sales outreach campaign
  • Support show marketing with both traditional and social media approaches
  • Coordinate third party event app
  • Supervise hotel rooming blocks, maintain weekly pick-up reports and negotiate hotel contracts
  • Supervise registration through third party company before, during and after event
  • Manage specific show features determined on an annual basis, including the New Products Showcase at Farwest by securing products and managing onsite display
  • Secure bus companies for offsite events
  • Manage Farwest onsite including exhibitor set-up and tear down, enforce rules and provide impeccable customer service to all exhibitors and attendees
  • Coordinate and execute event logistics for the association
  • Assist with completion of sponsorship fulfillment wrap-up reports
  • Oversee the ONF Scholarship process, committee meetings and awards
  • Run the Trucks to Trade Show program each summer and winter


  • Excellent customer service and polished communication skills
  • Ability to manage multiple tasks simultaneously in a fast-paced environment
  • Initiative and motivation to take on projects with intent to improve each component
  • Meeting/event planning experience of at least three years
  • Experience with budget management, financial tracking, contract negotiations
  • Sales experience is beneficial
  • Degree in related field or additional equivalent experience
  • Demonstrated ability and/or aptitude in: Windows and Microsoft Office applications (Word, Excel, Power Point), Facebook, Twitter and Apps. Familiarity with Mac OS-X operating system, Filemaker Pro and Instagram is helpful.

This position is full-time, Monday through Friday. Additional hours may be required for special events. The OAN offers competitive salary and generous employment benefits.

The OAN is a not-for-profit membership organization based in Wilsonville, Oregon that represents nearly 800 individual nursery stock producers, retailers, landscapers and related companies servicing the nursery and greenhouse industry. The nursery industry is the second largest agricultural commodity in the state, earning over $900 million annually.
